Photography and Filming Policy
How we handle photographs, video and screen recordings involving the children in our clubs, and how you say no.
The short version
We do not photograph or film a child without a parent agreeing to it first, and you can change your mind at any point without giving a reason and without it affecting your child’s place. If you would rather your child was never photographed, tell us and that is the end of it.
Live sessions
Live club sessions are not recorded. There is no requirement for a child to have their camera on or to speak, and children can use chat instead. Mentors run groups of no more than six and are present for the whole hour, and every mentor holds an enhanced DBS check.
What we might take, and when
Photography and filming happen at in-person clubs, game jams and events, and occasionally as a screen recording of a game a child has built. A game or a screen is not the same as a child’s face, and most of what we share is the work rather than the person.
Where it is used
On our own website and social channels, in our newsletters, and sometimes in press coverage about the clubs. We do not sell images and we do not pass them to anyone else for their own marketing. We do not publish a child’s full name alongside their photograph, and we do not publish anything that identifies which club a child attends together with their image.
Saying no, or changing your mind
Email info@thecodezone.co.uk or call 0333 090 5697 and ask for the designated safeguarding lead. Consent is not permanent: if you agreed once and would rather not now, tell us and we will take the image down. If you spot something already published that you are not happy with, the same applies and we will not ask you to justify it.
Children sharing with each other
Sharing and chat between members happens on our own platform and is moderated by mentors. That is separate from this policy, and it is covered on our safeguarding page along with the rest of our policies.
